How to Use, Export, and Save Outlook Email Templates

Outlook templates are pre-formatted email messages that you can use as a starting point for creating new emails. Templates are useful when you need to send repetitive messages, such as standard responses to common inquiries or messages with a standard format.

Templates in Outlook can include text, formatting, images, and even attachments. You can create your own templates, or you can use one of the built-in templates that come with Outlook. To use a template, you simply open it and make any necessary changes, such as adding the recipient's name or changing the message text, before sending the email.

Using templates can save you time and improve your productivity by eliminating the need to write the same email over and over again. They can also help ensure that your emails are consistent and professional-looking, which can be especially useful in a business setting.

Steps for Creating Outlook Templates

  1. Open Outlook and create a new email message.
  2. Compose your message, including any text, formatting, images, or attachments you want to include in the template.
  3. Click on the "File" tab and select "Save As".
  4. In the "Save As" dialog box, select "Outlook Template" (*.oft) as the file type.
  5. Give your template a name and click "Save".
  6. Your template is now saved and can be accessed by clicking on the "New Items" button in the "Home" tab and selecting "More Items" and then "Choose Form".
  7. In the "Choose Form" dialog box, select "User Templates in File System" and choose the template you just created.
  8. Your template is now loaded and ready to use. Make any necessary changes, such as adding a recipient's name or changing the message text, before sending the email.

Steps for Exporting Outlook Templates

  1. Open Outlook and go to the "Home" tab.
  2. Click "New Items" and select "More Items" and then "Choose Form".
  3. In the "Choose Form" dialog box, select the template you want to export and click "Open".
  4. Once the template is open, click "File" and select "Save As".
  5. In the "Save As" dialog box, choose a location to save the template and select "Outlook Template" (*.oft) as the file type.
  6. Give the template a name and click "Save".
  7. Your Outlook template has now been exported and saved as an .oft file.
